GDPR (General Data Protection Regulation)
Your personal data
On 25 May 2018 the General Data Protection Regulation has come into force. This means that from this date the same privacy regulation applies within the European Union (EU). HF Kits handles your personal data with care and in compliance with the “General Data Protection Regulation (GDPR)”. In this document you can find what data we collect, how we store the data and with which organisations we share your data. To process your order we need your name and address details. Furthermore, we use your email address for communication about your order. This data will be stored securely and encrypted on our external server. We have taken proper technical and organisational measures to ensure the safety of your data. We will not store your data longer than necessary. In case of a purchase the retention period will be seven years to comply with our financial obligations.
Who has access to your data
HF Kits will only share your data with third parties when it is strictly necessary. HF Kits will never share your data with third parties for commercial reasons. To quickly complete your order we work with some external parties. Think about shipping agents and organisations who manage the payment. Mollie payment service
In most instances HF Kits will make use of Mollie payment services. This payment service has implemented proper organisational and technical measures to ensure the safekeeping of your information. Mollie will not keep you information for longer than legally required.
We use SendCloud for the logistic handling of the order. To ensure quick delivery of your order we share, your name, address details and email address. HF Kits uses different shipping agents depending on your country. These can be: DPD, PostNL, UPS, DHL. Shipping agents use subcontractors to deliver your order, these subcontractors also have access to your address details. The shipping agents and their affiliated subcontractors have implemented proper technical and organisational measures to ensure the safekeeping of your data. Shipping agents will not share your information with third parties and not keep them for longer than legally required.
Regular contact with our clients is mainly through email. We use “Mozilla Thunderbird” as our email client. We use only a secure SSL connection for receiving and sending emails. Emails are securely (encrypted) stored in the datacentre of our hosting service. The hosting service has taken proper technical and organisational measures to ensure the safekeeping of your data. Emails are kept no longer than two years. We use MailChimp for sending our newsletter. MailChimp only has access to your email address and name. As a customer of HF Kits you can add your email address to the newsletter database. If you receive unwanted newsletters from us, you can easily unsubscribe using the link (unsubscribe) at the bottom of the email.
Accountant and Tax collection service
For our accounting and administration we use services provided by our accountant. We share your company information and details which relate to your orders. This data is encrypted and secured before being transferred. The accountant has implemented proper technical and organisational measures to ensure the safekeeping of your information. We keep your order data for at least seven years to adhere to the legal fiscal requirements.
As a consumer you have certain rights. These rights are laid down in the “General Data Protection Regulation”. Below you can find a list of your rights. In case you want to enforce any of these rights you have to submit a request to us. You can send us a request by email.
Right of access
You have the right to request an overview of the personal data we have processed and stored.
Right to be forgotten
This is the right to be ‘forgotten’. This request can only be implemented when it is not contrary to our fiscal obligations. HF Kits is obliged to keep records for seven years after a purchase.
Right to clarification and addition
In case of necessity you have the right to rectify and add to your personal data.
Right to object
You have the right to object to the processing of your data.
